What we keep about you, why, and how to contact us about it.

Who we are

As-Subkī Books مكتبة السبكي, 2 Atkinson Street, Leicester, LE5 3QA, United Kingdom. Contact us at subkibooks@gmail.com or through the Telegram messaging option on our contact page.

What we keep

When you send an order request, we store your name, email address, phone number, the books requested, any notes, and your delivery address if you want postage. We also keep messages and any images you choose to send about the order. If you connect Telegram, we store the chat identifier needed to message you.

Payments are arranged directly with the shop and made separately, outside this website. We do not take card details here. If you upload a payment screenshot, it is stored with your order; please hide unrelated balances, transactions and account details first.

For shared baskets, we keep the organiser's details and the names and book choices entered by participants. Anyone with the shared basket link can see its contents.

Why we use it

We use these details to respond to your request, confirm availability and postage, arrange payment separately, fulfil your order and help with returns or queries. This processing is needed to take the steps you ask for before a sale and to fulfil an agreed order. We use limited security records to protect the site from spam and misuse, which is in our legitimate interests.

We do not sell customer details or use them for advertising. We do not use advertising cookies or analytics trackers. The site uses necessary browser storage for your basket and shared-basket access.

Who receives information

  • Cloudflare hosts the website, database and uploaded images.
  • Resend handles email addresses and the messages we send by email.
  • Telegram carries messages when you choose to contact or connect with us there.
  • Delivery carriers receive the name, address and contact details needed to deliver your parcel.

These services may process information outside the UK. Their applicable privacy terms and data-transfer safeguards govern that processing. Contact us if you would like more details about the services used for your request.

How long we keep it

Completed order records and their associated messages are removed from this website after 2 years from completion. Other order requests remain until the shop deletes them; you can contact us to request deletion. Payment screenshots and other uploaded order images are normally removed about six months after an order is completed, cancelled or expired.

An untouched personal basket expires after 48 hours and is cleared when the site next reads it. Unsubmitted shared baskets expire after seven days. The site also keeps IP addresses and action times to limit misuse; records older than 24 hours are cleared during subsequent form activity.

Searches, book requests and pre-orders

We record searches that find no results so we can see which books customers want. These search records are not linked to an account or order and are deleted after 90 days.

If you separately ask us to find a book, we keep the title, your note and your email address to deal with that request. We delete the request when we mark it dealt with, or after 90 days.

If you register interest in a pre-order, we keep your name, email address and the number of copies you asked for, so we know how many to order and can write to you if we bring the book in. We delete them when we remove the pre-order, or 90 days after it closes. You can ask us to remove you at any time.

If you ask for a back-in-stock message, we keep your email address against that title until the notification is successfully sent, then delete the request. Unanswered alerts are deleted after about six months.

Your choices and rights

You can contact us to ask for access to your information, a correction, deletion, restriction of its use, or a portable copy where applicable. You can also object to processing based on legitimate interests. We normally respond within one month. Some requests may be limited where information is still needed to deal with an order or another obligation.

If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office.
